[Templates] Kick-ass Webinar Follow Up Emails

Email marketing is a tried-and-true channel and at this point, most marketing teams have strategies for webinar invitation email sequences, but what about webinar follow up emails?

Customer engagement should not begin or end with your event itself–and it should go beyond sending a thank-you email after the webinar. By providing useful content before, during, and after your events you build stronger connections and create more opportunities to drive revenue.

When someone agrees to attend your event, they’re taking time out of their day to hear what you have to say because they believe it will be valuable to them.

Their job is to show up. Your job is to provide value. One way to do that is to deliver useful content throughout the event process–including in a follow up email.

Your registrants expect to hear from you and following up after an event is an incredible opportunity to collect feedback, facilitate engagement with your qualified leads, and increase conversions while providing more value!

Registration Confirmation

Congratulations! The hard part is over. You secured a registration.

Now you’ve gotta make sure the registrant actually becomes an attendee. Set an automatic Registration Confirmation email to keep their attention immediately after registration.

Giving your registrants a link to add to their calendars will instantly boost your attendance rates.

To that end, including the time or title of your webinar in the subject line is another way to make the information quickly searchable in your registrants’ inbox. If the subject line feels too crowded, leverage the power of preview text to share the extra pieces of critical information.

Now, just because your lead registered, received your confirmation email, and added the event to their calendar, does not automatically mean they’re going to show up. Now comes your webinar reminder email.

Alright, the event is over and you’ve just blown your attendees’ minds. Now what? Follow up!

It’s not just a webinar thing. Any event you go to, be it a birthday, a graduation, a concert, or a virtual wine tasting, follow up thank-yous are expected. Which is a great thing for you because it means your audience is ready to hear from you.

As much as leads might enjoy your company’s swag or your presenter’s witty jokes, it’s not why they come to the event. People attend virtual events because they believe they’ll get something of value from them. Your leads want to know what you can offer them.

So when you send a webinar follow up email, consider delivering some free value. Attach a white paper, slide-deck, or long-form strategy guide.

Whatever you provide, you’ll gain impressions and improve your reputation as an industry thought leader. If you haven’t noticed, we’re fans of sharing resources in any email, but it’s particularly worthwhile to send communications focused on additional resources.

A post webinar survey email is also a great place to garner some feedback. You might not get a 100% open rate but you’ll likely find 1 or 2 attendees who genuinely want to share their thoughts with you.

You can also use this follow up email to invite them to an upcoming webinar and possibly move them through the funnel.

There’s no perfect rhythm or cadence for webinar follow up emails. Each event is unique and you should do what you can to build your cadence around your specific audience and event.
